599 Notes (located in Superholdings)

Table of Notes | Aleph Steps

This note gives keyword access to bibliographic records through locally-important terms, e.g. donor or fund names. Selectors will specify the note on a flyer, request form, etc. Catalogers create the note in a 599 field in OCLC, when bringing a new bib record into the USMAI catalog, or in a superholding ('bob'), for records already in Aleph.

Catalogers use the standard form of note from the following list, for consistent display in the catalog. These subfields are defined:

	�a      non-defined data
	�n      item number
	�p      official USPS State/Possession Abbreviation
        �z      collection or donor name

This table shows standard note forms now in use, arranged alphabetically by branch.

Cataloging staff: if you are asked to add a note not shown on this table, please ask your supervisor to:

  • make sure the note is worded to the patron's and branch librarian's satisfaction;
  • make sure every word likely to be searched is included in the note;
  • make sure incoming material is identified by flyers, so whoever processes it can add the note (see Collections in the TSD Workflow document);
  • make sure the note, with proper subfields, is added to this table by informing the webmaster;
  • determine whether item notes (when the gift copy is an add) should display with the call number, or be hidden in the item record.

Aleph steps

  1. Lock bib record.
  2. Click Edit --> New field (choose from list) --> 599 --> OK or F5 --> 599 --> OK
  3. Enter subfields, text as shown on table
  4. End 599 field with $9 CP
  5. Click Edit --> Fix record
  6. Scroll down, highlight Create super-holding record for local notes, and click OK
  7. Aleph returns to the bib record.
    To verify your note, type Ctrl + O or File --> Load HOL record from server
  8. The new superholding has CP in the LKR Text column instead of full sublibrary and collection info. Click Edit to reveal the note, 599 tag, and subfields.

A printout will look like this:
